Ethics Program in Action

A strong ethical culture is one in which the company’s management leads with integrity, where directors, managers, employees, and others set a good example and encourage ethical behavior. The ethical actions of all of us support the commitment we have to “do the right thing,” and the values promoted through formal and informal communication channels create a foundation of trust amongst us. Compliance with laws and regulations, and personal accountability to the highest standards of business conduct define the In-Depth Engineering code of ethics; a code which defines who we are as an organization.


Roles of Managers, Supervisors and Employees

Every employee at In-Depth should be careful with their words and conduct to avoid placing, or being perceived to place pressure on employees that could cause them to perform in a way that is contrary to the ethical standards set forth in this ethics code.

When an employee approaches a leader with a question or concern relating to the ethics code it is an obligation to be a good listener and request clarification and additional information as appropriate to ensure that the question or concern is appropriately pursued. The leader should answer questions that are straight forward, but be advised to seek assistance as necessary should the situation warrant. Leaders are not required to provide an immediate response, but should always acknowledge the inquiry and commit to getting back to the person as soon as possible.

All of us share in the responsibility to maintain the highest standard of integrity to ensure that we maintain a work environment that we are proud to be a part of. If faced with an ethical matter, each of us has a responsibility to speak up and seek resolution.


Reporting Violations of the ethics code

There are two principle avenues available to report violations of the ethics code. As appropriate, an employee may report perceived violations to their project manager or technical lead – or may make a report directly to the ethics officer.

If for any reason anyone comes to believe that a violation of the ethics code has occurred, or that they were asked to violate the ethics code, action must be taken to report such violations, or suspected violations; depending on the circumstances, failure to report may itself violate the ethics code. There are no unethical or illegal acts justified by saying that they benefited the corporation, or that they were directed by a higher authority in the organization.

There is never a penalty for contacting the ethics officer. No one in a position of authority can stop another person from contacting the ethics officer and any attempt to do so will warrant disciplinary action. We will not tolerate any act of retaliation against any employee who raises concerns in good faith. We do not require employees to identify themselves when contacting the ethics officer. Each of us will be treated with dignity and respect and every concern will be treated seriously and fairly.

The ethics officer will work diligently to keep confidential all persons reporting ethics violations. If concerns are not resolved at the time of the call employees who choose to report anonymously can call the ethics officer at a later date to learn the outcome of the case. Due to privacy concerns, we may not be able to disclose the details of actions taken.

In addition to reporting violations, each of us is encouraged to contact the ethics officer to discuss any ethics question or concerns we may have. When faced with an ethical concern it is always better to obtain guidance before acting.

Prohibition Against Retaliation

It is vital to the health and well-being of our company that everyone who has concerns pertaining to the ethical conduct of others feels the freedom to come forward and voice those concerns without fear of retaliation. Raising concerns helps us address problems early and before potentially more serious consequences develop. Retaliation in any form against an individual who in good faith reports a violation of the ethics code, even if the report is mistaken, or assists in the investigation of a reported violation, is a serious violation of this code. It is the policy of In-Depth to strictly prohibit any form of retaliation against anyone who raises a concern.


Disciplinary Actions

Violations of the ethics code are cause for immediate corrective action, which may result in disciplinary action up to and including discharge. Failure to comply with the Ethics Code may result in remedial action, disciplinary action, and/or termination of employment, as deemed necessary and appropriate.
